Events Co-ordinator
Role Description
We’re excited to introduce this brand-new role as part of the continued growth of our fast-paced marketing team. This is a fantastic opportunity to join the business at an exciting time and play a key role in shaping and supporting future marketing activity. The Events Co-ordinator is a pivotal new role within the Warrior Marketing team, responsible for owning the full events function end-to-end. From building the annual events calendar to executing national sampling campaigns and representing the brand at trade shows, this person will be the operational heartbeat of Warrior's physical presence in the market. As the brand expands into the US and EU, this role will also play a key part in coordinating international activations.
Key Responsibilities
Events Strategy & Planning
- Own and maintain Warrior's annual events calendar, identifying opportunities across consumer, wholesale, and retail channels.
- Source and evaluate sponsorship opportunities, obtaining competitive quotes and presenting recommendations.
- Manage end-to-end event logistics including venue liaison, supplier briefings, stand design (working with internal designers), print collateral (flyers, banners), and stock ordering for on-site sales.
- Set and manage individual event budgets, tracking spend and reporting on ROI.
Trade Shows & Wholesale
- Lead Warrior's presence at trade shows relevant to the wholesale business — from stand design through to on-the-day execution.
- Coordinate product samples, sales materials, and team logistics for each show.
Retail Partner & Sampling Events
- Act as the primary point of contact for retail partner sampling activations, coordinating with buyers and retail teams on logistics and execution.
- Lead Warrior's sampling campaigns — coordinating with sampling staff travelling nationwide, ensuring they are briefed, stocked with the right product and flyers, and capturing social content throughout.
- Travelling to sampling events to train sampling staff and spot check delivery is to standards.
- Serve as the daily point of contact for the sampling team: reviewing check-ins, tracking sample distribution numbers, resolving logistical issues on the road, and adjusting schedules where needed.
- Manage the sampling campaign budget, tracking spend across the team.
Staffing & People Management
- Source, brief, and manage all event staffing requirements — including temporary brand ambassadors, promotional staff, and sampling teams — working with staffing agencies or direct networks as appropriate.
- Ensure all event staff are fully briefed on the Warrior brand, products, key messages, and on-site objectives ahead of each activation.
- Manage staffing budgets and ensure cost-effective resourcing across the events calendar.
- This role has line management responsibility for sampling staff (temporary). Once trained and on the road, these team members operate independently but report in daily to the Events Co-ordinator.
Reporting & Effectiveness
- Track and report on the effectiveness of each event, including footfall, samples distributed, leads or contacts generated, sales on-site, and social content captured.
- Provide post-event reports to the Head of Marketing, summarising performance against objectives, budget vs. actuals, and key learnings.
- Maintain a live events tracker to give the business visibility of upcoming activity, spend, and outcomes.
- Feed event insights into wider marketing planning — flagging what's working, what isn't, and where budget should be focused.
Cross-Functional Collaboration
- Work closely with the Marketing Assistant and wider marketing team to ensure all events are promoted effectively across channels.
- Brief internal designers on creative requirements for event assets and manage revision timelines.
- Liaise with the Sales and Wholesale team to align events with commercial priorities.
International Events
- Support the planning and co-ordination of events in the US and EU as Warrior expands internationally, working with local partners and coordinating logistics remotely where required.
- (Some International travel maybe required as part of this role)
Desirable Skills
- 2–4 years of experience in events coordination, brand activation, or experiential marketing.
- Proven ability to manage multiple events simultaneously across different formats (consumer, trade, retail).
- Strong budget management skills — comfortable owning spend and reporting on it.
- Experience briefing and managing creative suppliers (print, stand builders, designers).
- Excellent project management and organisational skills, with a high attention to detail.
- Confident communicator — able to manage external suppliers, retail partners, and internal stakeholders.
- Experience in FMCG, sports nutrition, health & wellness, or challenger consumer brands is a strong advantage.
- Comfortable with travel — this role involves attending events nationally and potentially internationally.
- A proactive, solutions-first attitude and the ability to stay calm under pressure on event days.
- Familiarity with social content capture at events (knowing what makes great content) is a plus.
